American Getaway Booking Conditions

Please read the following terms and conditions carefully. If you do not agree with any part of them, please do not proceed with your booking.


These booking conditions form the contract between you (the client) and American Getaway. When a booking is made, the party leader guarantees that he/she has the authority to accept these booking conditions on behalf of himself/herself and the other party members. No contract will exist until American Getaway has received full payment and issued a written confirmation. On receipt of this confirmation, it is essential that you check the details carefully and inform us immediately of any errors and/or omissions.


Payment for your reservation is due at the time of booking. A charge of 2% will be applied for payments by credit card (we cannot accept American Express or Diners Club cards). Payment by debit card does not attract a charge. We can accept cheque payment, made payable to American Getaway (as long as your departure date is more than 21 days away) or bank transfer.


All our prices are quoted in 's sterling. The prices on our website, and in supplementary promotional material, apply at the time and may change before you book. You will be provided with an on-screen price at the time of booking and once you have accepted this and a booking has been made and confirmed, we will not increase that price. This doesn't include costs arising from Government action, increased transportation costs (including the costs of fuel), dues, taxes or fluctuations in the exchange rate. The cost of all standard taxes (i.e. state taxes) are included in our prices. Hotel prices are for room and state/provincial tax only, unless otherwise stated. All other extras, such as parking and incidentals, are to be paid locally by you direct to the hotel.


If you wish to cancel your booking once a confirmation invoice has been issued, the person who made and paid for the booking must notify us formally in writing, however please call us first on 020 8325 8080/9090 to alert us to the matter. The applicable charges, as shown below, will be calculated from the date this written communication is received by American Getaway. We strongly recommend that you take out the full travel insurance which includes cancellation cover that may protect you from some of this loss under certain circumstances. Our cancellation charges increase the closer to your confirmed departure date because there is a reduced opportunity for us to re-sell your holiday at these late stages.

*There is a minimum cancellation charge of 100 per person. Furthermore, in some cases, hotels can impose a stricter cancellation policy than those above. Where this is the case, you will be informed of the cancellation cutoff date during the booking process and/or on your confirmation invoice. After this date, cancellations will be non-refundable, regardless of our general cancellation policy outlined above. Prior to this date, the policy outlined above will apply. Please note we cannot refund amendment fees or credit card fees.

No Shows by the customer without prior warning shall be considered a cancellation. No reimbursement to the customer shall be made in the event of a no show. No refunds will be given for partially used car rental.

It is your responsibility to ensure you read and note these exceptions. By agreeing to these terms and conditions you accept the cancellation policies provided.


Due to circumstances beyond our control, we may occasionally have to make changes and reserve the right to do this at any time. If this involves a major change (e.g. change of resort, change to a lower category of accommodation/rental car) we will inform you as soon as possible and you will have the following options:

  1. accept the alternative arrangements
  2. choose an alternative hotel/rental car/tour (if available) and paying for any price increase
  3. cancel your booking and receive a full refund

Furthermore, if said major change occurs within 56 days, we will pay compensation as set out below in most cases (see exceptions). Our liability for changes is limited to the levels shown and we regret that we cannot accept responsibility for any other losses or expense you incur.

  1. Escorted tours can only go ahead with a minimum number of participants and in the event of this not being reached and no alternative can be offered, we reserve the right to cancel a tour altogether.
  2. We accept no responsibility for, and shall not be liable in respect of, loss or damage or changes caused by force majeure events such as strikes, riots, political unrest, war hostilities or threat of war, terrorist activity, industrial dispute, fire, flood, closure of airports or similar events beyond our control.


You may amend a confirmed and paid reservation upon payment of a 20 administration fee (subject to the amendments requested being possible). Please note that amendments involving a change of hotel will be treated as cancellations (see above). Please call 0202 8325 8080/9090 to request an amendment.


We retain the right to cancel and void any confirmed bookings which subsequently turn out to be made fraudulently. All orders are reviewed, and cardholder addresses verified. We also participate in the 3D-Secure scheme, which will require you to enter a password for any card which is enrolled. You may also be invited to enroll during checkout, but can choose not to. 3D-Secure protects your card against fraudulent online use.


Some hotels require at least one guest to be a minimum age of 21 years, especially in Las Vegas. We request that you to call us on 020 8325 8080/9090 prior to booking if no member of your party is at least 21 years of age so we can verify this for you, depending on your chosen destination and/or hotel. You must be at least 21 years of age to rent a car in the United States and/or Canada (25yrs in Newfoundland). If you are aged between 21yrs and 24yrs you will have to pay a 'Young Driver Fee' directly to the car rental company which will be between $20-$30 per day. There is currently no upper age-limit for renting a car in the USA or Canada.


Some hotels impose resort fees, payable locally, to cover local phone calls, newspapers and use of various hotel facilities. A typical charge is $20 per day and these can be optional or mandatory, depending on hotel policy. Where possible, we have included information regarding known resort fees in the hotel descriptions on this site. However, there may be cases where we are unaware of a resort fee that is subsequently imposed, or where further clarification is required. Please call us if you wish to check the details and cost of any resort fees that you may be liable for.


If you request a rollaway bed or cot in your room, please note that these may be subject to an extra charge, to be paid at the hotel.


Our accommodation suppliers constantly maintain and update information on all their accommodation and the information provided is as accurate as possible. Please note this information is provided primarily by our suppliers and American Getaway is not liable for any inaccuracies that may occur in the information provided. Similarly, the star ratings for each hotel are the subjective opinion of our suppliers and should be treated accordingly.


Please note that any child ages entered when you make your initial availability search should be the age at the date of travel. When requested, please enter the full first names and surnames for all room occupants. Names should be entered as they appear on each person's passport, with no abbreviations or nicknames. We accept no responsibility for any problems you may experience at the hotel as a result of providing inaccurate and/or miss spelt client information.


If you make any special requests for your rooms (e.g. non-smoking) please note that these are arranged at the hotel's discretion and therefore cannot be guaranteed.


American Getaway makes every effort to provide the information supplied by our accommodation suppliers regarding any building works or renovations taking place at our hotels, as well as how long these are expected to take and what impact they are likely to make. We cannot accept claims for works about which we have not been informed or which extend beyond the planned completion date.


Your car rental will usually include unlimited mileage, Collision Damage Waiver, Extended Protection, Sales Tax, State Tax and Airport Fees. The rental price does NOT include one-way drop-off charges that can be incurred when a car is returned from a different depot from where it was collected. Please see individual rental terms & conditions found on the car rental reservation screen for full details and descriptions of these inclusions. Please be sure not to sign the rental agreement in the US without checking that you are agreeing to charges that you have requested. Driving restrictions may apply. In most cases, you will need to have held a full driving license for at least one year to rent a car in the United States and/or Canada. Cars may be reserved by category only and not by specific model. Similar or larger cars may be substituted. All car rentals are subject to the legal terms, conditions and pricing procedures of the rental company in effect at the time booking. In the event of subsequent enactment of any law in the United States, whether local, state or federal, which restricts or prohibits any of those terms, conditions or pricing procedures, the rental company's terms/prices will be subject to adjustment to the extent necessary to compensate for such restriction or prohibition. Car hire is calculated on a 24-hour basis. You must return your car to the designated office by the time stated on your rental agreement. Maximum length of rental will depend on your chosen location but is usually 56 days (8 weeks) on one agreement and separate vouchers must be issued for rentals over any maximum limits. No refund made for any unused rental days. Please note that the credit card used for payment must be for the named driver, otherwise an additional driver fee may be imposed.


Many escorted tours feature narration in English only, whilst others are multi-lingual. Should you have a preference other than English, please call us on 020 8325 8080/9090 for details on suggested tours and/or dates that may offer narration in your chosen language. The most suitable accommodation and locations will be provided on your coach tour in relation to National Parks and principle viewing areas. However, accommodation in and around the National Parks is very limited and this may mean that you are accommodated a short distance from the Park and/or attraction. When this occurs, minor adjustments to your day-by-day itinerary may be made to allow for the extra travelling time. Tours quite often depart early in the morning on 'day 1' which may mean a pre-tour night at the pick-up hotel is required, for which we can provide a competitive quote. Please read the itineraries carefully so that you are sure the date you are choosing fits in with flights you may have booked yourself.


Should you have any complaint you are urged to discuss it at the time with the relevant authority, e.g. hotel manager. If your complaint is not resolved please notify us immediately to expediate a solution. Failure to contact the local supplier or Getaway America will adversely affect your customer rights. If it is not possible to resolve your complaint during your holiday, please contact us as soon as possible in writing within 28 days of your return home.


Please inform us at the time of booking if you or any member of your party have any special requirements due to any disability (e.g. wheelchair-accessible/ADA rooms required). We will be happy to assist with these requirements and/or requests but stress that we are reliant on our suppliers (i.e. hotels) being able to provide services exactly as confirmed and that this is out of our control, to some degree.


We have measures in place to protect the personal booking information held by us. This information will be passed on to the principal and to the relevant suppliers of your travel arrangements. The information may also be provided to the public authorities such as customs or immigration if required by them, or as required by law. Certain information may also be passed on to security or credit checking companies.

We will only pass your information on to persons responsible for your travel arrangements. This applies to any sensitive information that you give us, such as disabilities, or dietary/religious requirements. In making this booking, you consent to this information being passed onto the relevant persons. Full details of our data protection policy are available on request.


Depending on the hotel in question, you can usually check in from 2pm and check out between 10am and 12pm. Hotels usually require a security deposit or equivalent financial guarantee upon check-in. The simplest method of providing this is via any major charge or credit card such as VISA, MasterCard, American Express or Diners Club.


You must ensure that you and the rest of your party have valid 10 year passports (5 year for children), any appropriate visas and vaccinations. We are not liable for any costs, delays or illness resulting from your failure to meet these requirements. All children must now have their own passport from birth. British Citizens do not usually require a visa to visit the United States of America (not the case for British Subjects), but you must check with the American Embassy in respect of your own particular circumstances (020 7499 9000). The Embassy will also provide information on passport requirements as there are strict guidelines for passports issued after 26th October 2005 when travelling to the United States of America. You must also be aware that anyone holding a criminal record may be refused entry to the United States of America when travelling without a visa (you should contact the American Embassy if in doubt). For further information please visit Our information is correct at the time of going to press, but it is the responsibility of all of our customers to have the correct documentation with which to gain entry into any of the countries to which they are travelling. Failure to meet entry requirements may well result in 100% loss of monies paid in respect of travel arrangements made by American Getaway.

You must be responsible for ensuring that any existing medical conditions or disabilities which may require assistance are declared to us before you book your holiday or, if newly diagnosed, before date of departure. We can only accept your booking upon the clear understanding that we cannot be liable if any carrier refuses to accept you or any member of your party as a passenger if this information is not made known to us.

You must be responsible for the behaviour of yourself and your party. We and/or our suppliers reserve the right to refuse your booking or to remove you and/or any member of your party from any holiday if you or any member of your party is reasonably deemed to behave in a disruptive, dangerous or annoying manner. We will make no refund, or payment of costs incurred, under these circumstances and you may face prosecution.

Travellers are advised to carry at least one major credit card.

Visitors to the US may sometimes be concerned about their safety due to levels of crime in the larger cities. We would like to advise passengers to exercise due care and common sense at all times whilst on holiday.


Every effort has been made to ensure the accuracy of descriptions and information. However we are not always able to control all the components of the holiday arrangements and it is possible that an advertised facility may be withdrawn or changed. We cannot be held responsible for changes to the content of advertised free offers (e.g. parking) and we are unable to accept liability for loss of an advertised facility or withdrawal of free offers. All mileages on tours are approximate and are for guidance only. Coach operators reserve the right to substitute the type of transportation when operationally necessary. The images we feature on this website only present a representation of the product. Certain attractions advertised may be closed during public holidays, such as Thanksgiving.


This site may contain links to external websites owned and operated by third parties. American Getaway has no control over or association with such third party sites and no responsibility in relation to the accuracy or quality of the information contained within them.


Once we have received your payment, a confirmation e-mail will be sent to you along with vouchers for any hotels or tours booked. For car hire, your voucher will be dispatched by first class post. Please notify us IMMEDIATELY if there are any errors and/or omissions upon checking your documents.

Financial Protection

Many of the flights and flight-inclusive holidays on this website are financially protected by the ATOL scheme. But ATOL protection does not apply to all holiday and travel services listed on this website. Please ask us to confirm what protection may apply to your booking. If you do not receive an ATOL Certificate then the booking will not be ATOL protected. If you do receive an ATOL Certificate but all the parts of your trip are not listed on it, those parts will not be ATOL protected.
